[NEW] RollWorks Data available in Salesforce: Custom Objects

  Complete the transition before January 2025 

RollWorks released new Salesforce custom objects and reports to all customers on September 1, 2024. Data will be written to both old and new custom objects until January 2025, allowing time to transition your existing Salesforce reports, dashboards, and automations.

Before you start

To view RollWorks data in Salesforce, your CRM Administrator must follow this installation guide.

 

Daily Sync 12pm UTC

The sync of RollWorks data to your Salesforce custom objects and fields occurs daily at 12 pm UTC. The sync job may take up to 3 hours to complete. If you make changes to Salesforce objects or fields you may wait until the next daily sync is complete.

 

RollWorks Custom Objects in Salesforce

After completing the initial Salesforce Integration steps, RollWorks will create custom objects and fields in your Salesforce instance to store RollWorks aggregated data. You can build reports and dashboards using this data.

The custom objects are linked to your Account, Contact, and Lead records in Salesforce.

'RollWorks Aggregated Account Data' custom object

  We only sync to existing Salesforce Accounts

RollWorks will not create new Account records in Salesforce through the daily data sync. Alternatively, you can use the RollWorks Command Center to uncover in-market accounts with and create new Account records in Salesforce.

The 'RollWorks Aggregated Account Data' custom object surfaces RollWorks fit, intent, engagement, and advertising data linked to the associated Salesforce Account record. RollWorks uses the field Website in your Salesforce Standard Account object to match the company domain between RollWorks and your Standard Salesforce account record.

In Salesforce In RollWorks

We use the domain entered under the 'Website' field in your Standard Salesforce Account Object as the lookup field to match your existing Salesforce Account records to the RollWorks database of accounts.

If 'website' in Salesforce is blank or incorrect

If the 'Website' field in your Salesforce Account record is blank or is not filled out correctly, we will not be able to recognize a match between the RollWorks database of accounts and your Salesforce account records.

If the same 'website' is used across multiple Salesforce account records
If multiple Salesforce Standard Account records have the same domain under the 'Website' field, we will write data to all account records that match.

RollWorks normalizes the Account by removing any prefix or suffix
  • haci.honda.com  is normalized to honda.com
  • hca.fujifilm.com is normalized to fujifilm.com
  • honda.com/es is normalized to honda.com

 

Account object Profile fields

The table below contains the Profile identification custom fields synced to the Salesforce custom object 'RollWorks Aggregated Account Data' and their definitions. Profile data is relevant if you have multiple RollWorks Profiles integrated with one Salesforce instance.

High: top 5% of positively predicted accounts – on average, High accounts are 25x more likely to become an open opportunity than an average account

Medium: top 40% of positively predicted accounts – on average, Medium accounts 5x more likely than more likely to become an open opportunity than an average account

Blank: we will not produce journey prediction data for an account if any of the following criteria is true:

  • The account is not part of an Account List in RollWorks
  • The account has not shown intent or engagement activity in the last 90 days
  • The account is currently part of the training data set (have an open Opportunity or Deal), or that have been part of the training data set in the last year

Account Advertising fields

Advertising metrics synced to the 'RollWorks Aggregated Account Data' custom object aggregate data from the following types of Web Campaigns and Playbooks:

We do not sync any account or contact level data for LinkedIn or Facebook/Instagram Campaigns.

At this time we aggregate all advertising data for all campaign types and it is not possible to filter by specific campaign types or campaigns names. For such granular reporting, login to the RollWorks platform directly.

For each RollWorks advertising metric, you will find 4 different custom fields so that you can build your reports using 4 different look-back periods: 7, 30, 60, and 90 days.

Account ICP Fit fields

The ICP Fit Grade and ICP Name associated with your accounts can be synced over to Salesforce or HubSpot. We will sync only A, B and C ICP Fit grades to your CRM.

The ICP Names and respective Fit Grades for an account will be synced to Salesforce ordered alphabetically by Name. See example below.

If you have more than 8 ICPs configured in RollWorks, the top 8 ICPs in alphabetical order will be synced to Salesforce for the account. 

 

Account Spike fields

When an Account Spike is detected the Spike data is synced over to your Salesforce Accounts only when all the conditions below are true:

  1. RollWorks detects an Account Spike based on our Account Spike data science model
  2. The company domain is correctly entered under the 'website' field in your Salesforce Account record.
  3. The company domain entered under the 'website' field in the Salesforce Account matches the Account domain in the RollWorks database.

When the three conditions above are met RollWorks will sync Account Spike data to your Salesforce even if the account is not part of an Account List.

Below are additional conditions for RollWorks to detect Account Spikes:

  1. For assigned Salesforce Accounts: one Sales Insights Seat should be configured for the Salesforce user who owns the account to trigger email alerts for 'unassigned' or both 'assigned & unassigned' accounts.
  2. For unassigned Salesforce Accounts: at least one Sales Insights Seat should be configured to receive email alerts for 'unassigned' or both 'assigned & unassigned' accounts.

Spike: Number of Matched Contacts SalesInsights_MatchedContactsCount__c

Number of contacts that contributed to the Account Spike event. If we are able to match the Spike for this Account to any of your existing CRM contacts at the moment the Spike happened this field will indicate how many contacts were matched. if we are not able to match a contact this field will be 0. Please note that we only match 'Spike: Number of Matched Contacts' against contact records, leads are excluded.

Account Keyword Intent fields

RollWorks will sync the intent keywords an account was surging with in the last 7 days, we will write new intent data every day and once we have 7 days worth of data we will start deleting intent data older than 7 days. The keywords are limited to the specific intent keywords you are monitoring through RollWorks

Number of keywords the account is surging with Very High Intent in the last 7 days. 

Very High level means the account is consuming content related to that keyword in the top 1% of all other keywords tracked by RollWorks. 

Count High Intent KWs (last 7 days) KeywordIntent_HighIntentCount7D__c

Number of keywords the account is surging with High Intent in the last 7 days. 

High Level means the account is consuming content related to that keyword in the top 10% of all other keywords tracked by RollWorks.account is demonstrating intent at a High level.

 

'RollWorks Aggregated Contact/Lead Data' custom object

  We only sync to existing Salesforce Contacts/Leads

RollWorks will not create new Contact/Lead records in Salesforce through the Salesforce Integration daily data sync. You can use Contact Discovery Workflows to create new Contact/Lead records in Salesforce within in-market accounts.

RollWorks write back contact-level data for Leads and Contact records in Salesforce in the 'RollWorks Aggregated Contact/Lead Data' custom object only when all requirements below are met:

  1. RollWorks is able to deanonymize the contact.
  2. The contact exists in your Salesforce instance with a valid email address prior.
  3. The email address captured by the Pixel is an exact 1-to-1 match with the email address in the existing Salesforce contact record.

 

Contact Object Profile fields

Create New Account Records in Salesforce
